    Default leaving the premises

    We have a system of people entering there comings and goings on our electronic leaving the premises page which is accessible by all. If people are off site at a meeting or if they are on annual leave or an RDO they put it on the page. If someone rings in sick the person who takes the call puts it on the page. It was originally set up to replace the receptionist as the source of info and allowed anyone to know where everyone was .Lately the employees have been complaining that Payroll have been using this as a tool to follow up on forms for payroll use. ie sick leave forms rdo forms etc. The employees are saying that the managers will put the forms i n if they feel its necessary. From past experience because we are payed monthly a lot of forms are not forthcoming and the managers do need to be reminded.Believe it or not this has turned into a nasty situation whereby individuals feel they are not trusted and are even threatening to boycott the leaving the premises page .......which we all agree is a handy tool. Other employees are threatening to only work their required minimum hours.
    How do other companies record this information? and does Payroll use it as a trigger for requesting documentation and should we be recording all the hours of our professional staff anyway?

    Hi JBA,

    The leaving the premises page sounds like a great idea, and would be useful at my place of employment.
    In regards to your issue, we leave it up to management to decide whether to record the absence as sick, annual leave or time in lieu, as we all work beyond our minimum hours. If time in lieu is taken, it is recorded on the leave form and filed in the employees personnel file. The form is not sent to payroll.

    Is it possible for the leaving the premises page to state that a person is not in the office rather than away sick or on RDO? This way staff will not feel that their absences are being recorded.
